Front Desk - Opening Sidework


Reservations •Check and manage online reservations on JotForm (prioritize day of first, then manage upcoming reservations). Do not let reservations go unanswered for longer than 24 hours.

•Check voice messages and write down all messages. Manage reservations accordingly. If any messages are intended for management, forward to them accordingly.

•Check Email (webmail) for any replies from guests about reservations. Reply to each message with an acknowledgment.

•Call any party of 5 or more to confirm the guest count and ensure they still intend to keep their reservation.


Prepare Server List

•As servers show up, offer them their choice of cut (first come, first choice) and add it to the headcount spreadsheet


Online Gift Card Orders

On Wix page •Check all pending gift card orders and print the order sheet. •Grab a blank gift card from gift card box and type in the gift card # (on the back) into the Wix order page (notes section at the bottom). On POS

•If the gift card was bought with an online promo discount, make sure to apply the discount. -Don't forget to type the name of the customer (on Wix) when the discount prompts on the POS.

-Then tap the payment button "Online CC".

•Staple a copy of the itemized receipt.

•Swipe and print gift card balance and tape to gift card.


GC's To Be Mailed Out (Free Shipping) •Bundle everything together with a paperclip and forward it to management to be mailed out.

Do not mark any pending gift card as 'Fulfilled' unless the card was physically picked up by the customer in-person and requires no further action. For any gift card orders that need to be mailed out, leave the order status as 'Unfulfilled'.


Entrance and Front Desk Area

•Keep this area clutter-free.

•Make sure the entrance rug/carpets are clean. If they are not, make sure to vacuum them.

•Ensure mints, toothpicks, children's menus are full.

•Check to make sure the POS printer has paper, as well as the large printer under the coat rack.

•Wipe glass on both sides of the entrance doors

•Wipe window glass in the foyer. If dirty on the outside, wipe the outside as well (especially in the winter).

•Turn on candles.

•Make sure all 3 slideshow/advertising TV's are up to date with the correct specials, upcoming musician, etc. If not, let management know to update it.

•Wipe down and organize/restack dinner menus and cocktail menus neatly.

•Make sure silverware basket is full

•Make sure there are plenty of crayons for children's menu/activity page.

•Make sure there are at least 10 children's silverware rollups. -Maroon linen napkin, 1 butter knife, 1 dessert fork


Dining Room

•Set up the dining room furniture in accordance with the day's reservations. Preset any reservation table before 6:00pm to be ready upon guests' arrival.

-For large parties of 8 or more, set the dinner menus at each place setting 15 mins before their scheduled arrival time. Set a cocktail menu (1 cocktail menu per 4 guests).

•Check all battery powered candles and replace batteries of candles that appear to be dim/battery dying.

•Tidy up and table that needs organized or re-set. Make sure each table has silverware, salt/pepper shakers, candle.
